Our Data Promise
Your vault contains the most personal information a family can have. We treat that responsibility as sacred.
We will never sell your data. Ever.
Not to advertisers, not to data brokers, not to anyone. Your information is not our product — you are our customer.
Your data is not used to train AI models.
We do not use your vault to train, fine-tune or improve AI models, and our AI providers are used under business API terms under which they do not use your content to train their models. Your words stay yours.
No ads. No data monetization.
EmberKeep is free during the beta. We do not sell ads or your data. No advertising, no analytics selling, no “anonymous” data sharing.
You own your data. You can have it deleted.
Export your vault information as a PDF anytime. We're building full self-serve account deletion; in the meantime, email us and we'll erase your account and your data from our live systems and confirm when it's done. Our backups are not erased at the same time. Database backups expire within 90 days; backup copies of uploaded files are kept until we remove them. We keep a de-identified record of the account and our security log. If EmberKeep ever shuts down, you get 90 days' notice and a way to download your vault information.
What We Collect
EmberKeep collects the information you choose to provide: your name, email address, and the estate planning information you enter into your vault sections. We also collect basic usage analytics (page views, feature usage) to improve the product. We do not collect or store biometric data or device fingerprints.
How We Use Your Data
Your vault data is used for one purpose: to provide the EmberKeep service to you and your designated family members. Specifically:
- Storing and displaying your vault information when you log in
- Showing your vault to people you give a role
- Generating AI-guided conversations, and document insights when you choose to analyse a document
- Sending transactional emails you initiate (account confirmations, role invitations, commitment reminders)
We do not use your data for marketing profiling, behavioral targeting, or any form of monetization beyond running the service.
AI & Your Privacy
EmberKeep uses AI to help you organize your estate information through guided conversations and document analysis. Here is how your data is handled:
- Providers: Established commercial AI providers, used under business API terms under which they do not use your content to train their models. Our service providers are listed below
- Training: We do not use your data to train, fine-tune, or improve any AI model, and our AI providers do not use it to train theirs
- Documents: Documents you upload are not sent to AI automatically. Analysing a document is something you choose, and you see a notice that it will be sent to our AI provider before anything is sent
Data Storage & Security
Your data is stored with AES-256 encryption at rest. Authentication is handled by a dedicated identity provider with enterprise-grade session management. Data in transit is encrypted with TLS. See our Security page for full details.
Data Portability & Deletion
Here is what you can do with your data:
- Export: Download your vault information as a PDF at any time
- Delete: We're building full self-serve account deletion. In the meantime, email us and we'll erase your account and its data from our live systems, and confirm when it's complete. Our backups are not erased at the same time. Database backups expire within 90 days; backup copies of uploaded files are kept until we remove them. - Shutdown: If EmberKeep ever ceases operations, we commit to providing at least 90 days' notice and a way to download your vault information before any data is removed
Cookies & Tracking
We use cookies for sign-in and, on our public pages only, an analytics cookie to count page visits. We do not use advertising cookies or retargeting pixels. We do not serve display ads. We do not participate in any ad networks or data exchanges.
Third-Party Services
We use established third-party services to operate EmberKeep, chosen for their security posture. Each one handles only the minimum data required for its function:
- Authentication — sign-in and session management
- Database and file storage — where your vault lives, encrypted at rest
- Payment processing (not used during the beta) — handled entirely by a PCI-compliant processor; we never see or store your card number
- AI processing — the AI features described above, under business API terms under which the providers do not use your content to train their models
- Transactional email — delivery of the messages the product sends on your behalf
- Application hosting — running the site itself
- Error monitoring — crash reports, without your vault contents
- Analytics — page-visit counts on our public pages
- Backup storage — encrypted copies of our database and files
None of these services have access to your vault contents beyond what is required to perform their specific function. We do not share your vault contents with any service for marketing, analytics, or any purpose outside of operating EmberKeep.
